Refund Policy
These terms cover refunds, cancellations, and rescheduling for advisory engagements with Cybersecurity Systems. This site does not sell physical products or run checkout.
Eligibility
Refunds apply only to fees paid under a signed proposal or statement of work for services described on this site (ledger anomaly scans, journal control reviews, suspense clearance audits, and period-end briefings). Website form submissions do not create a charge.
Timeframe
Cancellation requests made at least ten (10) business days before the agreed start date are eligible for a full refund of prepaid fees for unused work. Requests inside that window are assessed under partial refund or credit rules below.
Full refunds
A full refund is issued when we cancel an engagement for reasons within our control, or when you cancel before work starts and within the ten-business-day window, provided no deliverables have been issued.
Partial refunds
If work has started—access obtained, samples drawn, or draft findings prepared—we refund the unused portion after deducting fees for completed stages listed in the proposal. Completed stages are not refundable.
Non-refundable items
Non-refundable items include: completed detection runs already briefed to your team; third-party data extraction fees expressly marked as pass-through in the proposal; and scheduled briefing slots cancelled with fewer than two business days’ notice when the briefing itself was a prepaid line item.
Refund process
Email hello@cybersecurity-systems.digital with your proposal reference, the reason for the request, and the preferred refund method. We confirm receipt within three business days and outline the calculation.
Processing time and method
Approved refunds are processed within fourteen (14) business days using the original payment method where possible, or by bank transfer to a UK account you nominate. Currency is GBP unless the proposal states otherwise.
Cancellation and rescheduling
You may reschedule a start date once without fee if you give at least five business days’ notice and we can accommodate the new window. Further reschedules may incur a rebooking fee stated in the proposal. We may reschedule if required access is delayed; prepaid fees then roll to the new dates rather than refund automatically.
Deposits
Where a proposal requires a deposit to reserve capacity, that deposit is applied to the final invoice. Deposits become non-refundable once discovery workshops or data access have begun, except where we cancel.
No-shows
If your named stakeholders miss a booked briefing without twenty-four hours’ notice, that briefing is treated as delivered for refund purposes. We will offer one courtesy rebooking subject to calendar availability.
Work already started and materials
Draft exception workbooks, detection maps, and analysis notes prepared before cancellation remain our working papers. You do not receive unfinished drafts as a condition of refund unless the proposal says otherwise. We do not purchase materials for clients as a product line; any agreed pass-through costs already incurred are excluded from refunds.
Exceptions
Statutory rights under UK consumer law remain unaffected where you engage as a consumer. For business clients, the signed proposal governs if it states different refund mechanics.
